This privacy policy explains what personal information Meridian Surveyors LLP collects through this website and when you contact us, how we use it and the rights you have. We handle all personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We respect your privacy and will not disclose any personal information about you, your business or your browsing to any organisation other than our own, except where we need to in order to provide our services or the law requires it. We do not sell your personal data.

Who we are

Meridian Surveyors LLP is a Limited Liability Partnership registered in England and Wales (OC436774). Registered office: Unit 2.02 High Weald House, Glovers End, Bexhill On Sea, TN39 5ES. We are responsible (the “data controller”) for the personal information described in this policy.

What information we collect

  • When you contact us by email, phone, post or the contact form: your name, email address, phone number, the address of the property concerned and anything you tell us in your message.
  • When you instruct us: the details we need to carry out the work, such as your contact details, the property details and any information you or others provide about the property.
  • When you visit the website: our web server keeps standard technical logs (such as your IP address, browser type and the pages requested) to keep the site secure and working properly. We do not use analytics or advertising tracking on this website.

How we use it

  • To reply to your enquiry and provide a quote. When you send the contact form we also send you an automatic email confirming we have received it.
  • To carry out the surveying work you instruct us to do, and to keep proper records of it.
  • To meet our legal and professional obligations, including those of the Royal Institution of Chartered Surveyors (RICS), accounting and insurance.
  • To keep the website and contact form secure and free from spam.

We will only send you marketing emails if you have agreed to receive them, and you can ask us to stop at any time.

Our lawful bases

We use your information where it is necessary to take steps at your request before entering into a contract, or to perform a contract with you; where we have a legal obligation; or where it is in our legitimate interests to respond to enquiries, run our business and keep the website secure, provided those interests are not outweighed by your rights. Where we rely on your consent, you can withdraw it at any time.

The contact form

Messages sent through the contact form are emailed to our office and a copy is stored securely on the website so that nothing is lost. Copies stored on the website are deleted automatically after 12 months. To stop spam, the form uses Cloudflare Turnstile, which checks that the form is being sent by a person, and the website briefly records a scrambled version of your IP address (for 10 minutes) to limit repeated submissions.

Who we share it with

We only share your information with organisations that help us provide our services, and only as much as they need:

  • our website hosting provider, and Mailgun, which delivers the website’s emails (using its European data centre);
  • Cloudflare, for the spam check on the contact form;
  • professional advisers, insurers and regulators (such as RICS) where required; and
  • HMRC or other authorities where the law requires it.

Some of these providers may process information outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK’s approved data transfer agreements.

How long we keep it

  • Enquiries that don’t lead to an instruction: up to 12 months.
  • Records of work we carry out for you: six years after the work is completed, so that we can deal with any questions or legal claims (in line with the Limitation Act 1980), or longer where our professional obligations require it.

Cookies

Cookies are small text files that websites place on your device. This website does not use cookies for analytics, advertising or tracking, so you won’t see a cookie banner. The only cookies are those needed for our staff to log in and update the website.

The map on our contact page is provided by Google Maps and only loads if you click Show map. Once loaded, Google may set its own cookies under Google’s privacy policy.

You can manage or delete cookies at any time in your browser settings. Information on controlling cookies is available at www.aboutcookies.org.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information, where we no longer have a good reason to keep it;
  • object to, or ask us to restrict, how we use your information; and
  • withdraw your consent at any time, where we rely on it.

To make a request, email us at the address below. There is normally no charge, and we will reply within one month. We may ask you to confirm your identity first.

Complaints

If you have a concern about how we handle your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.
